Key Tasks & Responsibilities:

The role of the Procurement and Logistics Co-Ordinator will include, but not be limited to the following:

  • Responsible for Solas & IRL Flooring Procurement and Logistics department.
  • Responsible for looking for alternative but reliable suppliers and cost reduction options.
  • Prepare all shipping instructions for the freight forwarder; coordinate with the forwarder’s timely movement of shipments and dispatch and follow up on all suppliers-related shipping documents.
  • Plan and book shipment (air and courier) according to availability, holidays, delivery stops, customer wishes, etc.
  • Responsible for requesting quotation/proforma invoice from the supplier, validation and issuance of Purchase Order, Request for payment, tracking of payments, and tracking of order shipments.
  • Calculating landed cost (item cost + shipping cost) and liaising with Sales & Finance Dept. to agree/arrive on the selling price.
  • Generating and updating weekly shipment tracker showing the status of orders, estimated time of departure from the country of origin, and estimated time of arrival to the country of destination.
  • Relentlessly following up on suppliers/shipping agents to assure all shipments arrive on time and to the correct addresses.
  • Coordinate with Finance Dept. regarding due payments for suppliers/contractors.
  • Ensure shipment paperwork is received on time (in relation to shipment timeline) and ensure correct information is mentioned on the documents.
  • Check credit limits and other possible hurdles.
  • Actively leading negotiations with the suppliers and performing follow-ups
  • Responsible for maintaining and securing records/transactions (e.g. quotes, invoices, payments)
  • Provide administrative support to the Operations team.
  • Liaising with existing and new clients on assignment, coordinating the company shipping activities. Ensure information received from the suppliers relating to changes in delivery dates is communicated to the relevant internal personnel and the ERP system is updated.

Essential Qualifications:

  • Bachelor’s Degree
  • UAE experience in Purchaser/Logistics
  • Prior knowledge of Lighting would be an added advantage
  • Proficiency in Microsoft Office (Word & Excel)
