Responsibilities

Responsible for executing the corporate procurement activities of Ayedh Dejem Group (ADG) by identifying suitable vendors of materials, equipment and services and ensuring proper delivery of the required goods.

Policies & Processes

§ Implement the function’s policies and follow the set processes in order to achieve the function’s objectives.

Reports

§ Prepare reports covering the main activities required by the job role such as purchase orders status or other customized reports as requested by the Direct Manager.

Duties

§ Manage tender planning, compilation and issuance and ensure that all contracts incorporate the terms and conditions that are endorsed by ADG.

§ Take part in the contracts negotiation and ensure that the financial aspects and impact of a contract are clear to all parties.

§ Manage and monitor the tender processes to ensure compliance with the established and approved procedures.

§ Identify and recommend successful vendors through reviewing RFQs and RFPs.

§ Resolve contractual and commercial problems and provide commercial support to the Project Management Team throughout the contract delivery cycle, advise on variations and commercial considerations of managing projects.

§ Administer purchase contracts in areas pertaining to delivery, receipts, warranties, damages and insurance as well as return incorrect or faulty goods received.

§ Process and analyse all requisitions of material & supplies in line with ADG’s purchasing procedures.

§ Prepare requests for quotations (RFQ), obtain quotations from suppliers, prepare quotation’s evaluations & comparison sheet.

§ Prepare and issue purchase orders and record all purchasing documentation and price lists.

§ Identify cost reduction opportunities (i.e. best cost vendor sourcing, opportunity buying, bulk purchases etc.).

§ Coordinate with the suppliers regarding delivery, quality, etc. to ensure that all required materials, supplies and equipment’s are provided and delivered on-time.

§ Prepare technical specifications for request for proposals, including terms and conditions and evaluation criteria.

§ Prepare and develop bid documents and supplier bid lists to obtain competitive quotations on commodities and services.

§ Liaise with the concerned stakeholders to identify inventory levels to ensure availability of all required materials and avoid potential shortages as well as confirm the purchase orders / requisitions at hand.

§ Ensure inspecting all received goods to validate that the quantity and quality of the goods and services are up to standards, as well as the agreed-on terms, and conditions.

§ Develop and update a list of approved suppliers and establish and maintain a strong supplier relationship.

§ Monitor and evaluate the performance of ADG’s suppliers, using metrics such as lead time, accuracy of delivery quantities, quality, and delivery time.

§ Submit shipping documents and follow-up for any import items under customs clearance, and ensure imported materials are authorized by regulatory bodies.

§ Report any supply issues to the Direct Manager to ensure that departments and functions are kept aware of any potential difficulties.

§ Perform ad-hoc and other duties related to the job as assigned by the Direct Manager.

Qualifications

Bachelor’s Degree in Business Administration, Logistics, Industrial Engineering, or related field.

Experience

Minimum of 12-15 years of experience in Procurement function of the Hotel industry or in Real Estate Development industry or any related field.

Ability to communicate in Arabic will be added advantage.
