We are looking for a Purchasing Officer to source items related to Retail fit-out and Facilities maintenance. The position will report to the Head of Projects – Retail and key responsibilities will include floating RFP, evaluating vendors, negotiating contracts, and preparing job orders/LPO.
Job Responsibility:
- Coordinate with the Project & FM team to understand the project/job requirements
- Research potential vendors
- To receive walk-in suppliers and evaluate their product to be presented to the Head of Project & Procurement Manager if they are qualified to be a potential approved supplier of the company.
- Submit drawings to suppliers for inquiry and forward the quotation to the technical department to verify and confirm the given specifications and technical matters of the products/works.
- Request for requested sample board to get the approval of the samples from the client
- Compare and evaluate offers from suppliers
- Consult the site-in-charge about their requirement to ensure that supplier would meet and supply the materials accordingly to the given schedule.
- Prepare a comparison list of required items of the project from the suppliers to get the Manager’s approval on the items.
- Negotiate contract terms of agreement and pricing
- Prepare LPO in the Oracle System after Manager’s approval to process the final order of the materials.
- Follow up with internal Finance for payments, Track orders with suppliers and ensure timely delivery to site
- Review quality of purchased products & make factory visits when required
- Coordinate logistics to ensure timely delivery
- Maintain updated records of purchased products, delivery information and invoices
- Assist the Project and FM team with their requested information/ clarification from suppliers to help in the documentation of the project.
Experience & Qualification:
- Bachelor’s Degree in Business Administration or Certificate in any business course
- 3-5 years of experience in the same field.
