We are looking for an Operations Coordinator. Directly reporting to the CEO, the operation coordinator handles business operations, through monitoring the project pipeline by optimizing resource allocation, overseeing the project managers, reviewing, and monitoring the projects performance. The position encompasses the 5 following areas:

I. Resources coordination

  1. Manage and optimize resources staffing of all the company projects in its three offices (Dubai, Casablanca, and Paris):
  • Coordinate internal resources and clients for the flawless execution of projects
  • Have an overall clear view on the planification of all studio staff
  • Follow up of all projects progress
  • Use of the best practices, techniques, and standards for planification, resource allocation and project management
  • Identify, collect, and formalize business and resources needs, either urgent or for the future, and communicate them to the Human resources department
  • Detect inconsistencies in planification and resources allocation, assess their impact to submit a request for arbitration, make recommendations for process improvements
  • Ensure that all projects are delivered on-time, within scope
  • Identify risks and alerts in project progress, suggest readjustments

2.Manage and supervise the design managers for a flawless execution of the projects

  • Works closely with project managers for proposing and formalizing the project framework and resources, organizing project monitoring including planning, resources, and key deliverables
  • Works closely with project manager to propose and formalize the objectives, challenges, and roadmap of the projects (milestones and key deliverables) and result indicators
  • Act as a support of the design managers in all matters of resources, organisation, and planning
  • Run Projects and Resource meetings with the design teams on a weekly / monthly basis and whenever needed

II. Projects Financial and performance management

  1. Project budget preparation with project managers
  • Works closely with projects managers to prepare budget based on scope of work and resource requirements
  • Support of the project managers on all matters of project budgeting
  • Setting-up key metrics and performance indicators

2.Act as a Financial planning & analysis manager regarding projects performance

  • Prepare management reporting, Key metrics, and performance indicators
  • Set and prepare management reporting suited for the design and architecture field
  • Keep track of the project performance on weekly and monthly basis, based on reporting and KPIs
  • Analysis and challenge of the reporting and projects KPIs, in terms of progress, discrepancies vs budget or forecast
  • Weekly meetings with design managers to gather information, assess the performance progress, KPIs overview, rationalisation of the project metrics
  • Weekly Presentation to the companyā€™s Management: overall key financials, key messages, main financials for each project, performance rationalisation and explanation, any red flag or risk regarding a particular matter or project, suggest adjustment, identify area of improvementā€¦

III. Head of the Design SOPs

  • Update and formalize the Design Standard Operating Procedure for the company
  • Assess SOP using the sector best practices
  • Update the SOPs whenever needed
  • Support for all the staff to all matters regarding design SOPs
  • Provide hard copies to the staff and check their practical application
  • Conduct quarterly review of the SOP with entire staff

IV. Productivity tool expert

  • Expert in 365 Microsoft office Management tools
  • Provide training and education on the project planification tool
  • Responsible for archiving and folders organisation for optimum use and fluid project progress

V. Commercial responsible

  • Participate in the commercial phase of any projects
  • In charge of preparing and formalizing the tenders and RFPs
  • Track RFP with clients.
  • Identify the right design partners to collaborate with.
  • Monitor RFP with the management and analyse the success rate.

Mandatory Job requirements

  • Masterā€™s degree or equivalent in project management is mandatory
  • A total professional experience of minimum 8 years in project Management
  • A minimum of 2 years of experience in a company/department operations management and/or multiple projects management and coordination
  • Proven experience in the field of Design, interior design, architecture, or construction engineering
  • Master the Microsoft 365 Office Pack and a PM software.
  • The employee must be able to work under a very minimum level of supervision
  • The job requires excellent analytical, strategic, and communication skills
