Location :- Abu Dhabi
Designation :- Executive Assistant / Secretary / Office Administrator
Job Purpose :- To manage the office operations including email communications, calendar handling, logistics handling, document control and management of assets and real estate portfolio. The ideal candidate is expected to work well with flexibility and support in an effective manner to ensure work productivity is always at highest level.
Job Accountabilities :-
- Fully handling all email communications/official letters with strong English language writing and drafting of emails on various topics and issues.
- Handles phone inquiries, directing calls, and providing clear information where needed.
- Performing full document control duties, taking memos, handling and maintaining confidential files, and organizing documents. Photocopying, faxing, collating, etc., as needed. May help plan events, meetings, activities or special projects.
- Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
- Plans/organizes and implements events such as meetings, business luncheons, or dinners.
- Prepares reports, information, presentations, and data for executive needs and meetings.
- Maintains costs and finances by verifying payments made, outstanding balance and summarizes this information.
- Handling outside of office visits to external entities or 3rd party suppliers to follow up procedures.
- Managing assets and real estate portfolio including supporting in real estate related discussions and transactions.
- Manage other junior employees in the office to ensure that the objectives are met in a timely and correct manner.

Educational Qualification :-
Preferably Bachelors Degree in business administration or related field
Experience :-
2 to 5 yearsâ prior experience in administration and business management (UAE experience preferred)
Knowledge/Skills :-
⢠Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
⢠Excellent verbal and creative writing skills
⢠Ability to handle complaints and build customer relationships
⢠Dedicated to quality service delivery and solutions focused
⢠Excellent attention to detail and good administrative skills
⢠Excellent time management and prioritization skills
Other Requirements :-
⢠Preferably Valid driverâs license and safe driving record preferred
⢠Preferably Shorthand notes taking
