Position: Admin Coordinator

Key Responsibilities:

1. Documentation & Compliance:

  • Handle all property-related documentation, ensuring compliance with Dubai real estate regulations and RERA requirements.
  • Manage and prepare tenancy contracts, Form F, A, B and I, and related legal documentation.
  • Maintain accurate records and filing systems for easy access and organization.

2. Property Marketing:

  • List properties on leading platforms such as PropertyFinder, Bayut, and Dubizzle.
  • Ensure listings meet high-quality standards for optimal visibility and engagement.
  • Coordinate with agents to enhance listing accuracy and quality.

3. Administrative Operations:

  • Utilize CRM systems and leads management tools to streamline processes.
  • Research and evaluate property market performance to provide strategic insights.
  • Collaborate with agents and managers to support day-to-day operations.
  • Fluent in Trakheesi system, DubaiREST application, Dubai Brokers application, and other related systems.
  • Be able to maintain and share propertiesā€™ availability on daily/weekly basis.
  • Register and keep up-to-date records with Developersā€™ registrations.
  • Be proactive in identifying new Developers and ensure agency registration with those.
  • Be able to create and manage groups with Developers.

4. Office Support:

  • Report operational updates and challenges to the manager thoroughly and efficiently.
  • Be able to do necessary documentation for operational records.
  • Assist managers with day-to-day operational requirements and duties.

Requirements:

Experience & Qualifications:

  • 01 – 02 years of experience in a similar role within the Dubai real estate market.
  • Bachelorā€™s degree or high school certificate.
  • Proficiency in Excel, Google Sheets, and CRM tools.

Skills:

  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Proficiency in CRM systems, Trakheesi, and Microsoft Office Suite.
  • Excellent reporting and documentation skills.
