Job Title: Accounts Receivable Administrator
Reports to: Finance Manager / Accounts Receivable Manager
Job Summary:
The Accounts Receivable Administrator is responsible for overseeing the entire invoicing and collections process, ensuring compliance with accounting principles, IFRS, and regional tax regulations (UAE, GCC, and European). The role includes interpreting client contracts for accurate invoicing, utilizing ERP systems to monitor contract statuses, and providing regular reports to management. The AR Administrator ensures that all financial transactions are accurately recorded in line with company policies, tax regulations, and global accounting standards.
Key Responsibilities:
Invoicing and Contract Management:
- Collaborate with internal teams to review, interpret, and apply client contracts for precise invoicing.
- Ensure that invoicing complies with contract terms, accounting principles, IFRS standards, and relevant tax regulations (UAE, GCC, European VAT).
- Address and resolve any invoicing discrepancies or disputes by coordinating with clients and internal departments.
ERP System Utilization:
- Utilize ERP systems (e.g., SAP, Oracle) to track, monitor, and update client contracts, invoicing schedules, and payment statuses.
- Ensure all financial transactions related to receivables are accurately recorded in the ERP system, complying with IFRS and regional accounting practices.
- Regularly update and maintain contract status in the ERP system, including milestones and deliverables, ensuring accurate invoicing.
Accounts Receivable Management:
- Monitor accounts receivable aging reports and follow up on overdue payments to ensure timely collections.
- Reconcile and post all incoming payments (cheques, wire transfers, credit card transactions) into the ERP system, ensuring accuracy with accounting standards.
- Investigate and resolve payment discrepancies in accordance with contractual terms and tax regulations.
Tax Compliance and Accounting Standards:
- Ensure all invoicing and financial processes adhere to the UAE, GCC, and European taxation laws, including VAT and withholding tax compliance.
- Apply IFRS standards and accounting principles when processing receivables, reconciling accounts, and generating financial reports.
- Stay updated on changes in local and international tax laws and IFRS regulations, ensuring continuous compliance in all invoicing and reporting processes.
Collections:
- Proactively follow up with clients on overdue invoices, ensuring timely payments and adherence to agreed payment terms.
- Negotiate payment plans when necessary, ensuring that financial arrangements are documented and reflected accurately in the ERP system.
- Keep detailed records of all communication with clients regarding collections, including contract terms and tax compliance issues.
Reporting and Communication:
- Generate accurate and timely reports on accounts receivable, including aging balances, collection forecasts, and payment statuses.
- Report to management on the status of client contracts, invoicing, collections, and any potential financial risks related to outstanding receivables.
- Provide management with reports highlighting any non-compliance issues regarding IFRS, taxation, or contract terms.
Account Reconciliation:
- Perform regular reconciliations of customer accounts, ensuring all payments and invoices are correctly recorded in line with IFRS and company policies.
- Resolve discrepancies in accounts through coordination with internal teams and clients, ensuring tax and accounting compliance.
Customer Relations:
- Build and maintain strong relationships with clients to ensure smooth invoicing and payment processes, and address any concerns regarding contract terms or taxation.
- Act as the primary point of contact for customers regarding invoicing, contracts, tax issues, and payment status.
Compliance and Audit Support:
- Ensure full compliance with IFRS, local accounting standards, and company policies in all accounts receivable processes.
- Assist in internal and external audits by providing detailed financial data, documentation, and reports on receivables, contracts, and tax compliance.
- Implement any audit recommendations to enhance compliance and financial reporting accuracy.
Process Improvement:
- Identify opportunities to improve efficiency in invoicing and collections processes using ERP systems, while ensuring compliance with IFRS and regional tax laws.
- Develop and implement best practices for managing receivables in line with global accounting standards and company objectives.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field (preferred).
- Proven experience in accounts receivable management with a solid understanding of IFRS and accounting principles.
- Familiarity with UAE, GCC, and European taxation laws, particularly VAT and withholding tax.
- Experience with ERP systems (e.g., SAP, Oracle) in managing accounts receivable and contract statuses.
- Intermediate user of Microsoft Office – Excel & Word
- Strong ability to interpret contracts and apply them to invoicing and collections processes.
Skills:
- Knowledge of accounting principles, IFRS, and regional taxation (UAE, GCC, Europe).
- Proficiency with ERP systems for managing accounts receivable, invoicing, and contract monitoring.
- Strong analytical skills with attention to detail and accuracy.
- Excellent communication and problem-solving skills.
- Ability to manage multiple tasks, prioritize work, and meet deadlines.
Key Performance Indicators (KPIs):
- Accuracy of invoicing based on contract terms and compliance with IFRS and tax laws.
- Percentage of overdue receivables.
- Days Sales Outstanding (DSO).
- Timeliness and accuracy of reports provided to management regarding receivables and contract statuses.
- Compliance with local tax laws and IFRS in financial reporting.
