Job Description/Role

A Parts Procurement Officer is responsible for managing the procurement process of spare parts and components used in automotive vehicles. They are responsible for ensuring the availability of high-quality spare parts, negotiating with suppliers, managing inventory levels, and maintaining efficient supply chain operations.

Duties and Responsibilities:

Sourcing and Supplier Management:

  • Identify and evaluate potential suppliers of auto spare parts.
  • Negotiate pricing, terms, and conditions with suppliers to secure favorable agreements.
  • Maintain strong relationships with suppliers, ensuring timely deliveries and resolving any issues that may arise.

Procurement Planning:

  • Analyze inventory levels and usage patterns to forecast future procurement needs.
  • Develop procurement strategies to optimize costs and minimize lead times.
  • Collaborate with other departments to understand their spare parts requirements and incorporate them into procurement plans.

Quality Assurance:

  • Conduct regular quality inspections of spare parts to ensure they meet the required standards.
  • Work closely with suppliers to address quality issues and implement corrective actions.

Inventory Management:

  • Monitor inventory levels to prevent overstocking or stockouts.
  • Implement inventory control measures such as ABC analysis and just-in-time inventory to optimize stock levels and reduce costs.

Documentation and Record-Keeping:

  • Maintain accurate records of procurement activities, including purchase orders, invoices, and delivery receipts.
  • Prepare reports on procurement performance, supplier performance, and inventory levels.

Compliance and Regulations:

  • Ensure compliance with legal and regulatory requirements related to spare parts procurement.
  • Stay updated on industry trends, market conditions, and changes in regulations that may affect procurement processes.

Cost Management:

  • Monitor procurement costs and identify opportunities for cost-saving initiatives.
  • Conduct cost-benefit analysis for different procurement options and recommend the most cost-effective solutions.

Collaboration and Communication:

  • Collaborate with other departments such as maintenance, operations, and finance to coordinate spare parts procurement activities.
  • Communicate effectively with internal stakeholders and suppliers to ensure a smooth flow of information and materials.

Continuous Improvement:

  • Identify areas for process improvement within the procurement function and implement best practices.
  • Stay updated on advancements in spare parts technology and industry.

Requirements:

  • Minimum 7 years’ background in automotive spare parts.
  • At least 3 years’ experience in procurement of automotive spare parts in the UAE.
  • Bachelor’s Degree or Automotive Diploma.
  • Supply chain certification or equivalent.
  • Excellent communication skills.
