Scope And Responsibilities

Based in Dubai, the Administrative Assistant will provide administrative support to the Middle East Marketing team. Responsibilities include:

  • Providing prospecting and administrative support to two Marketing Reps;
  • Liaising at an executive level with the region’s foremost institutional investors, including meeting coordination
  • Liaising with Oaktree’s founders and senior management
  • Assisting with the coordination of subscription agreements, due diligence and marketing material requests;
  • Managing expense reports, assisting with answering phones, car/courier bookings, meeting room bookings;
  • Scheduling travel arrangements, preparing detailed itineraries and full diary management;
  • Managing logistics of onsite and offsite client and prospect meetings including, but not limited to, booking conference rooms, preparing data/materials (printing and binding), updating agenda and managing delivery and logistics of client material;
  • Maintaining and owning CRM database (Salesforce) for team;
  • Assisting where needed with coordination of email-blast mass mailing process;
  • Categorizing clients for the purpose of marketing within Oaktree’s regulatory and legal guidelines;
  • Working in partnership with the other Administrative Assistants to ensure the optimal team support level , including cover for when other Administrative Assistants are on leave.

Experience Required

  • Minimum 5 years experience as a team administrative assistant within the financial services/investment sectors;
  • Middle East business, social & cultural experience advantageous
  • Experience in the organization of complex international travel
  • Proven ability to manage tasks with competing priorities and deadlines, and self-initiating other value-added tasks;
  • Proven track record in maintaining discretion with confidential information;
  • Strong working knowledge of Microsoft office applications including Excel, Word, Outlook and PowerPoint
