Who We Are:

160/90 is currently seeking an Operations Analyst to work on the agency operations team supporting a tier one global client. This person will have a strong focus with two key systems used across the agency, our CRM sales system, and our project management system. This position will also be extremely involved in utilization, staffing and pricing and work closely with finance and senior management on finance/budget reconciliation as it relates to the client account business.

Key Responsibilities Include:

General

• Support the client business lead and finance teams in the tracking, reporting and management of the client P&L
• Take responsibility and accountability for the reconciliation of project PO’s using the agencies internal finance reporting systems and adhering to the clients requirements as it relates to providing evidence against spend
• Submit and approve invoices using Esker
• Support the management team in the tracking of client projects and finances through the agencies internal CRM platform
• Build a relationship with and act as the key conduit between the agency and the client counterpart in finance process and operations
• Take responsibility for the client follow ups and chasing of PO and invoice issuance and payments
• Manage the agencies internal tracking documentation and status sheets as it relates to status of work statements, PO’s, invoicing and payment
• Work closely with the agencies client account teams and project budget owners to ensure budgets are accurate, in correct client facing format and corresponding SOW documentation is in place

Data Analytics

• Utilize reporting from both systems, learn to write ad hoc reports to support the business and perform analytical work
• Perform data analytics and assist with maintaining dashboards and other management reporting
• Recommend actions, improvements and solutions based on analyzing and interpreting data

Utilization

• Maintain sold utilization and time tracking in Work
• Develop reporting for monthly sold utilization meetings as it relates to the tier one client account team
• Help develop PowerBI reports for sold utilization, time tracking and burn rates as it relates to the tier one client account team
• Involvement in rolling out pricing/utilization/time tracking for our tier one client account team

Other

• Assist the tier one client account team with the onboarding of new staff and act as the liaison between HR, Ops, Finance and Legal
• Other duties as requested by management team

You will have the following strengths

• Relevant agency or client-based experience across in a similar operations role
• Bachelors degree (or equivalent qualification)
• Become an expert with the agency’s sales system, Global CRM
• Become an expert with the agency’s project management software, Work
• Become an expert with our reporting tool, PowerBI
• Provide data entry support
• Focus on data integrity
