Role Purpose
The incumbent is responsible for supporting the Project Manager in terms of office management & working environment, providing substantiated information internally/externally, managing schedules and reviewing reports
Accountabilities
- Review daily reports from operations and outline comments for Project Manager Review.
- Coordinate with different departments to have substantiated information needed for report building.
- Ensure that the Operations monthly report and work plan are forwarded to the Client and on time.
- Prepare the required reports, analyze operations reports and provide the summary to the Project Manager.
- Schedule Meetings and Manage appointments for Project Manager.
- Manage all the correspondences to and from the client and archiving.
- Maintain the contracts, agreements and other important files related to the Project and provide them to the concerned as and when required.
- Maintain files data base and track records for easy reference.
- Prepare letters, emails and memos as directed by Project Manager.
- Prepare Minutes of Meeting and circulate to the concerned.
- Gather information to support documents forwarded to the Project Manager for approval
- Handle the petty cash and manage its distribution (for AD office and operation team) and prepare vouchers and file the receipts and update them in SAP.
- Receive and answer calls and transfer to the concerned or notify to the concerned department.
- Manage the purchase, inventory and issuance of the office supplies and stationery.
- Assist travel related documentations and arrangement of accommodations during business visits for PM and other Managers / staff as advised by PM.
- Arrangement of required documents and submission of monthly invoice to the client/s.
- Support the Project Manager in any other administrative works as directed.
Experience & Qualification
• Bachelor’s Degree / Diploma in any discipline (preferably in Corporate secretary / Business Administration)
• Certification / Diploma in Office Secretary / Project Management will be a plus
• 2 – 3 Years of experience as Administrative Assistant / Executive Assistant / Office Secretary
• Waste Management Industry experience will be an added advantage

• Excellent verbal and written communication skills in English
• Arabic Communication skills will be a plus
