Job Purpose:

  • Process the purchase requests for store inventory, job cards, or projects in line with the company policy
  • Ensures that the approved purchases are cost-efficient and of high quality
  • Maintains and updates supplier information such as qualifications, delivery times, product ranges, etc.
  • Responsible for evaluating suppliers, products, and services
  • Reviews, compares, and analyzes products and services to be purchased
  • Researches and evaluates prospective suppliers
  • Negotiate with external vendors to secure advantageous terms
  • Approve the ordering of necessary goods and services
  • Raise LPOs, LSOs after receiving purchase requests from users for approval by the Manager In-charge.
  • Ensure stock is delivered in a timely manner by liaising with venders
  • Sourcing for new Suppliers required by the operation and engaging them.
  • Ensure stock received meets the requirements including quality.
  • Ensure proper record keeping of all purchases and reporting monthly on the same.
  • Conduct monthly stock take and reporting on the same.
  • Finalize purchase details of orders and deliveries
  • Examine and test existing contracts
  • Track and report key functional metrics to reduce expenses and improve effectiveness
  • Collaborate with key persons to ensure clarity of the specifications and expectations of the company
  • Foresee alterations in the comparative negotiating ability of suppliers and clients
  • Expect unfavorable events through analysis of data and prepare control strategies
  • Perform risk management for supply contracts and agreements
  • Control spend and build a culture of long-term saving on procurement costs
  • Any other duty as may be assigned from time to time.

  • Identify and correct unsafe work procedures or conditions and/or report them to management and security/safety personnel.
  • Maintain awareness of undesirable persons on property premises.

  • Comply with reasonable OSH instructions and safe working procedures;
  • Use of appropriate personal protective equipment and safety systems;
  • Be familiar with emergency and evacuation procedures;
  • Not will fully or recklessly endanger anyone’s health and safety;

  • Report OSH hazards, incidents and issues
  • Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor.

  • Follow Hazardous Material Management Program procedures for handling and disposing of chemicals, fertilizer, pesticides, blood borne pathogens, etc., including using Material Safety Data Sheets (MSDS).
  • Use proper equipment, wear appropriate personal protective clothing (PPE), and employ correct lifting procedures, as necessary, to avoid injury.
  • Identify and correct unsafe work procedures or conditions and/or report them to management and security/safety personnel.
  • Complete appropriate safety training and certifications to perform work tasks.
  • Follow property specific procedures for handling emergency situations (e.g., evacuations, medical emergencies, natural disasters).
  • Follow policies and procedures for the safe operation and storage of tools, equipment, and machines.
  • Maintain awareness of undesirable persons on property premises.

  • Perform other reasonable job duties as requested by Supervisors.

Minimum Requirement (Education / Knowledge, Skills and Experience)

  • Minimum 2 years’ experience as a procurement officer or in a similar role
  • Proficiency in Microsoft office and purchasing software
  • Strong communication and negotiation skills
