Job Description:
Secretarial:
Schedules appointments and maintains calendar of the senior executive
Arranges business itineraries and coordinates senior executive’s travel requirements
Sorts and furnishes incoming mails, e-mails, correspondence and documents for the senior executive
Introduces and maintains files of follow ups / actions
Receives incoming calls for the senior executive and takes messages as appropriate
Organizes internal meetings with the senior executive
Maintains business cards / contacts
Maintains the senior executive’s personal filing
Deals with senior executive’s personal matters including holidays, flights and other similar matters
Maintains the highest level of professionalism and confidentiality at all times
Administration:
Assists the senior executives with data compilation and other duties as and when requested
Performs document control and filing
Assists the Administration team with their duties when they are unavailable
Maintains efficient office systems, policies, and procedures in coordination with the Administration Manager
Manages purchasing supplies, monitors the usage, and maintains accurate records
Answers telephone enquiries in a friendly and professional manner as and when needed
Handles routine correspondences for related managers
Commits to environment’s conservation by reducing paper waste, recycling when possible, and reusing whenever applicable
Qualifications:
