Job Purpose:
Customer credit and collection management.
Main Accountabilities / Duties:
- Ensure that all the customer accounts are maintained up to date, reconciled and tallied with customer’s ledger.
- Ensure timely submission of Invoices and statement of account to all corporate customers and maintain the proof of delivery.
- Supervise the work of Collection Officers and ensure that all the collection procedures are followed.
- Ensure that the customers are contacted on a regular basis to follow up the payments and arrange for the pickup of Cheque.
- Report the details of defaulting customers to Division Manager and sales executives on a regular basis and follow up the matter with sales team.
- Review payment status of customers on a regular basis and recommend for blocking of the customer accounts and pull back of vehicles to FM wherever needed.
- Maintain a list of those customers for whom ‘Stop service’ advice is given to Division Manager and follow up their action.
- Keep the Receipt books issued to collection department under safe custody and exercise total control on the use of the receipts.
- Monitor the collection from customers and ensure that all the dues are collected in time.
- Coordinate with Division Managers for issues related to collections on a regular basis
- Scrutinize the prescribed documents of corporate customers, evaluate their credit worthiness and recommend the credit limit for new customers.
- Open customer master in ORBIT for new Account customers once credit facility is approved.
- Maintain a track of legal customers and follow up with legal department.
- Maintain the files of all legal cases.
- Prepare weekly report for the collection meeting.
- Ensure that the invoices and attaching documents to be delivered to client at the specific time.
- Perform any other related duties.
HSE Responsibilities:
- Manager/Supervisor has but not limited to following responsibilities in respect of the company’s OHS/HSE Management System & Policies.
- Communicating the Health and Safety Policies and Procedures to the employees under his jurisdiction or supervision.
- Attending in HSE Team meetings, Inspections, Audits, Campaigns etc.
- Coordinating and supporting HSE division to identify specific training needs of employees and organizing internal & external trainings.
- Deliver Tool Box Talks to enhance HSE awareness of employees.
- Take lead in emergency & crisis management and in emergency drills.
- Identify health & Safety Objectives for the division, monitor progress and achieve them for continual improvement of the system.
- Participate in incident investigations and implementing corrective actions.
- Identifying opportunities to make a job safe improve protection of environment or enable a task to be performed more efficiently.
- Undergoing trainings as defined in the training matrices..
- Practicing Good Housekeeping in the work place to avoid slip & Trip Hazards.
- Wearing Seat Belts during travelling in vehicles.
- Minimizing fire and health hazards associated with tobacco smoking.
- Lead by example by following company policies and procedures.
HSE Accountability:
- Providing operational Induction to Employees.
- Ensuring mandatory/contractual trainings provided to employees before deployment.
- Conduct Tool Box Talks to Employees
- Legal and contractual compliance of employees.
- Daily monitoring of violations to ensure driving performance and corrective actions.
- Submission of monthly HSE statistics
Minimum Requirement (Education / Knowledge, Skills and Experience)
- Education: Bachelor’s degree in Accounting or equivalent.
- Experience: At least 5 years of experience in related field.
Skills: Microsoft office skills and able to demonstrate a reasonable level of industry knowledge.
