Hiring for the role of Logistics and Customer Service Executive for our client in Luxury Wines and Spirits industry.
Job location: Dubai
Job responsibilities:
- ORDER TO CASH CYCLE INCLUDING DEMAND PLANNING
Order processing for both finished goods and POS material and complete responsibility for entire order to availability cycle for assigned markets.
• Support the Operations Manager with checks and maintenance of the demand planning tools for Finished Goods.
• Liaison with operations manager and market manager on variations against budget.
• Receive the customer orders – check products, code, prices, incoterms, and quantities are in alignment with forecast.
• Process the order and follow necessary system steps.
• Check invoices issued are in alignment with commercial agreements.
• Ensure credit terms remain compliant and controlled, or terms of payment are adhered as per Distribution agreement prior to processing the orders and dispatch.
• Coordinate with 3PL to ensure order is processed on time and as per agreement with customers.
• Prepare necessary shipment files.
• Monitor and update customer on ETA and order updates.
• POSm orders processing, monitoring budget and aligning with market manager in case overrun. Consolidate and plan the shipments according with customer requirements.
• Manage orders and shipping in relation to ad hoc orders and items, such as packing materials, labels, sampling & free goods from Central warehouse to the markets within the region.
- SAP PROCESSING AND MAINTENANCE
Processing of the following in the SAP system
• All necessary financial documents
• All material / goods movements
• Regular system health checks
• Testing requirements. Maintenance and permanent update of all SAP master data
• Customers and delivery points, material master, vendors, conditions, pricing, etc.
- PROVISION OF CUSTOMER SERVICE, REPORTING AND SUPPORT FOR RELATED ISSUES IN THE SUPPLY CHAIN.
• Proactive customer correspondence, coordination for planning and execution of all deliveries on time, to ensure customer satisfaction.
• Highlight customer issues and operational difficulties in the market and provide data to assist the business to make tactical and strategic decisions.
• Monitor and control product compliance in accordance with customer’s requirements.
• Ensure product availability against sales forecasts / orders from customers and service levels in terms of transit times etc. On time in full deliveries and no stock out in the markets.
• Building a strong relationship with the customer which serves as a platform for future growth.
• Handling damage claims from customers and processing with SAP, including the handling of any customer complaints and returns.
• Covering for colleagues in times of absenteeism (holiday, sickness etc.) and supporting in busy periods.
• Managing any other country specific tasks that may arise pertinent to an assigned country.
• To ensure that required weekly and monthly reports are submitted or retrieved on time.
• To support in the streamlining and creation of effective department and business processes.
- ISSUE ALL EXPORT AND IMPORT RELEVANT DOCUMENTS FOR CUSTOMERS AND PARTNERS
• Preparation of all relevant documentation needed for shipment purposes.
• If applicable handling Letters of Credit with Banks and scrutinizing these for compliance.
• Liaising with customers to guide and advise of necessary L/C amendments to meet compliance.
• Organizing any other documents such as Bills of Lading, insurance certificates and any documents and detail therein necessary as per local law and regulatory requirements for an assigned country to enable the smooth importation of product and related items into that country (including but not limited to Health certificates, Certificates of Origin, ingredient declarations, export customs documents etc.)
• Effective handling of relationships with Banks, Relevant regulatory authorities, and internal and external stakeholders to ensure strict compliance with local laws and regulations, for documentation and communication.
• Ensure all documentation is issued accurately and filed effectively in line with company audit requirements.
• Consolidate and control the documentation and send it to customers, carriers, freight forwarders, etc.
EXPERIENCE, KNOWLEDGE & SKILLS
•Organized with a methodical approach.
•Analytical, logical and can identify opportunities to improve business processes.
•Strong team player with good communication and interpersonal skills.
•IT literate – excellent MS Excel knowledge, and SAP experience are a pre-requisite.
•Knowledge of demand planning and inventory management is advantageous.
•Perfect working knowledge of English, spoken and written is a must.
•Must be self-motivated, self-directed and be able to work under pressure in a fast-paced team environment.

•A graduate in any field with over 5 years of relevant hands-on experience in Logistics and Customer Service, preferably in the Wine & Spirits / Luxury industry in UAE.
