Role Purpose

· Administer, organise and maintain personnel records; ensure the relevant HR database is up to date, accurate and complies with legislation

· Ensure to keep the organisation up to date regarding HRMS practices

· Answer employees’ queries about HR-related issues

· Manage administration of employees’ separations by updating the HR system, processing related documentations and following up with line managers and employees on recovering company effects, e.g. employee and insurance card, company issued mobile phone/laptop

· Support in administering employee job change process which include liaising with HR Business Partners for required information, recording/updating the employee database, preparing letters and ensuring timely distribution to the employees

· Administer employee attendance by ensuring leave records are updated in the HR system and attendance reports are timely provided when required

· Provide relevant employee information to the payroll team (e.g. leaves of absence, sick days and work schedules)

· Verify that all relevant information and documentation are timely updated/recorded in the HR system for the monthly payroll run

· Support in the development, improvement, implementation and adherence of HR policies and procedures relating to Employee Relations and Service Delivery

· Support in developing, streamlining and enhancing HR processes and systems for efficient tracking reporting and analysis

· Build relationships and work collaboratively with other HR teams to ensure that HR overall objectives are achieved

· Manage support of the onboarding processes as may be required, e.g. setting up new joiners’ employee ID and health insurance card

· Generate and prepare periodic HR KPIs and generate periodic or ad hoc HR related reports

· Support the Senior Public Relations Officer with the employee visa services as and when required

· Maintain an up-to-date employee e-files on HR share folder and ensure all har copies are maintained in the employee file and archived properly

· Support the development and implementation of HR initiatives

· Provide secretarial assistance to HR management and administrative support to different units of HR

· Coordinate and support internal projects in accordance with requirements of the business

Coordinate and provide administrative support including but not limited to accurate and efficient posting and checking of ticket LPOs, leaves and payroll entries including incentives and ticket encashment, administering various letter requests as well as assisting in personnel documents filing

· Support other team members in the recruiting and selection process as may be needed

Key Requirements and Qualifications

· Minimum 2 years of experience in HR; experience in corporate recruiting is preferred

· Bachelor’s degree in any field; degree in Human Resources field of study will be a plus

Skills and Competencies

· Knowledge and exposure on HR processes and best practices is a plus

· Knowledge of UAE employment laws, industry practices, trends and issues is preferred

· Skills in database management and record keeping

· Good interpersonal and coaching skills

· Ability to work independently with minimal supervision

· Excellent command of written and spoken English; knowledge of Arabic language is an advantage

· Good analytical, execution, problem solving and decision-making skills

· Advanced level of customer service orientation and professionalism in all interactions
