Live Dubai International is urgently looking for an Assistant Admin / Personal Assistant to the CEO.

Key skills: ‎

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)

Assistant Admin Responsibilities: ‎

  • Daily monitoring office activities and operations.
  • Attending to necessary correspondence either email, phone, or meetings.
  • Keeps management informed by reviewing and preparing daily task plans and updates and consolidated Weekly Task Sheet Reports.
  • Maintains office services by organizing office operations and procedures; preparing payroll; facilitating correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
  • Maintains and facilitates HR files, records and procedures.
  • Maintains and facilitates the use of Company files, records, documents. Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs, get approval from Management and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
  • Completes operational requirements by scheduling and assigning employees; following up on work results.
  • Keeps management informed by reviewing and preparing daily task plans and updates and consolidated Weekly Task Sheet Reports.
  • Maintains office staff by recruiting, selecting, orienting, and training employees.
  • Coordinate with the top Management for discipline and appraisal of staff.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintain office facilities, report, and initiate necessary repairs and maintenance.
  • Provide general support to clients and visitors.

PA (Personal Assistant) to CEO Responsibilities: ‎

  • Acting as the point of contact between the CEO and Clients, staff, or suppliers
  • Screening and directing phone calls and distribute correspondence
  • Handling requests and queries appropriately
  • Provide personalized secretarial and administrative support in a well-organized and timely manner
  • Work on a one-to-one basis on a variety of tasks related to the Managing Director’s works and communication.
  • Manage diary and schedule meetings and appointments
  • Make travel and booking arrangements
  • Take dictation and minutes
  • Source office supplies
  • Produce reports, presentations, and briefs
  • Devise and maintain an office filing system

Qualification: ‎

  • Bachelor’s degrees in any of the following: ‎Business Administration/Business Management
  • Must have strong and relevant experience in supporting company operations by maintaining office systems and supervising staff.
  • 3 – 4 years of working experience.

Requirements:

Proven work experience as a personal assistant

  • Knowledge of office management systems and procedures
  • MS Office and Fluent in English (British Accent is Advance)
  • Outstanding organizational and time management skills
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
