Receptionist / Administrator

A well-known and well-reputed Company based in Dubai, United Arab Emirates is looking for an experienced “Receptionist / Administrator.”

Key liaison relationships are: –

  • Partners & Fee-earners
  • Dubai Office Manager
  • Business Development Director

Key Tasks and Responsibilities (this is a broad but not an exhaustive list)

Receptionist

  • Receiving and directing internal and external telephone calls in accordance with the firm’s policy
  • Preparing refreshments for visitors
  • Setting up and clearing of the meeting rooms
  • Ensuring compliance with quality standards and the firm’s policies in general
  • Receiving, documenting, and distributing incoming mail and deliveries
  • Arranging courier pickups for outgoing mail and shipments
  • To provide a friendly and efficient front of house service to visitors of the office
  • Responsible for organizing and replenishing all office stationery and kitchen consumables

Administration

  • Word processing/typing and collating correspondence and other documents from digital dictation and hand amended markups – minimum of 60 wpm required.
  • Extensive diary management, arranging and preparing documentation for meetings, and setting up conference calls and video meetings
  • Inbox management including preparation of draft responses for review
  • Other support services include making travel and hotel arrangements (the UK and Foreign travel, including visa applications) taking minutes of meetings, initiating and replying to correspondence on routine matters, regular archiving and photocopying.
  • Setting up and maintaining records and filing in accordance with the firm’s policy and quality standards

Person Specification

  • Highly motivated individual who will be able to deal effectively with conflicting requirements

Salary Range: (6,000 AED – 8,000 AED)
